Privacy Policy

1. What We Collect
VoltType collects the minimum data necessary to provide the service:
- Account information: Email address when you create an account. If you sign in with Google, Google sends us your email address, name and profile picture so we can create and identify your account; we request nothing else from your Google account and never post or read anything on your behalf.
- Audio data: When you dictate in the cloud — the default, and the only option on Free — your voice recordings are sent to our servers for transcription only. Audio is processed in real-time and never stored on our servers. In Offline mode (Pro) audio is not sent at all; see section 4.
- Usage data: We track the number of seconds and words transcribed per day for billing and plan limits, and which app and version made the request. We do not store the content of your transcriptions on our servers.
- Diagnostics: For each cloud transcription we keep a small technical record — how long it took, which speech model ran, which device and app version were used, and an error code (with the technical message our speech provider returned) if it failed. This is used only to fix problems and improve speed. It never contains audio or text.
- Sign-in record: When you sign in we record which app you used (Windows, Android or the web), its version, the date, and the country your connection came from. The country is worked out from your network address at that moment; we do not store the address itself. We use this to know which apps people actually use and to spot problems in one country or one version.
- Word bank, only if you turn on Remember (Pro): the words and corrections you teach VoltType — what it heard, and what to write instead. See section 3.
- How you found us, at sign-up: if you arrived through a campaign link, the campaign tags and the page you landed on are saved with your account when you sign up in the web app. See section 4c.
- What you send us: contact-form messages, feedback, survey answers, waiting-list sign-ups, and gift or promo codes you redeem.
2. What We Don't Collect
- We do not store your audio recordings.
- We do not store your transcription text on our servers.
- We do not sell your data. We share it only with the service providers named in section 4, and only for the purposes stated there.
- We do not use your data for advertising.
3. Local Storage and the Word Bank
The apps store the following data locally on your device:
- Settings and preferences
- Personal vocabulary (learned words and corrections)
- Word Bank rules and templates
- Transcription history, notes and meetings
This data stays on your device unless you choose to export or share it — with one exception you control: if you turn on Remember (Pro), your word bank (the words and corrections you teach VoltType) is also synced to our server, in our database at Supabase (see section 4), so your other devices learn the same words. Only your own account can read it. It stays there until you delete your account, or ask us at [email protected] to remove it. With Remember off, nothing from your word bank is sent to us.
4. Third-Party Services (Sub-processors and Recipients)
VoltType uses the following third-party services to process your data:
- Groq (United States): Speech-to-text transcription and AI text cleanup when you use the cloud. Audio is sent for processing and is not retained by us. Subject to Groq's Privacy Policy.
- Supabase: Our database — account authentication, usage records, diagnostics and, if you turn on Remember, your word bank. Our database is hosted in the EU (Frankfurt, Germany). Subject to Supabase's Privacy Policy.
- Cloudflare: Website and API hosting, and cookieless website analytics on volttype.com (see section 4c). Subject to Cloudflare's Privacy Policy.
- Stripe: Payment processing for paid plans. We never see or store your card details. Subject to Stripe's Privacy Policy.
- Resend: Sending account and service emails, and delivering contact-form messages to our inbox. Subject to Resend's Privacy Policy.
- Telegram: Internal notifications to the operator only (see section 4b). Subject to Telegram's Privacy Policy.
- GitHub: Hosting the application installer, app updates and some voice packs you download (see section 4a). Subject to GitHub's Privacy Statement.
- Hugging Face: Hosting the voice, language and writing packs used in Offline mode (see section 4a). Subject to Hugging Face's Privacy Policy.
International transfers. Several of these providers are based in the United States or elsewhere outside the EU/EEA, so your data may be processed or accessed there — for cloud transcription it is processed in the United States. These transfers rely on the EU Standard Contractual Clauses and equivalent safeguards offered by each provider, or on the EU–US Data Privacy Framework where the provider is certified under it.
Offline mode (Windows and Android, Pro). Offline mode is not the default: you switch it on, on Pro, after downloading a voice pack. When you use it, your audio is processed entirely on your own machine and is not sent to Groq or to us at all.
4a. Downloading the app and voice packs
When you download the app, an update, or a voice, language or writing pack, your device fetches the file directly from GitHub or Hugging Face. As with any download, your network (IP) address and ordinary request details (such as which file and your browser or app type) reach that host, which handles them under its own privacy policy. We send them no account information. Once a pack is on your device it is used offline.
4b. Internal notifications (Telegram)
VoltType is run by one person. So that a new purchase, message or problem is noticed quickly, our server sends a short alert to a private Telegram chat that only the operator reads. The alert says only what happened (for example “New contact enquiry” or “New Pro signup” with the plan) — it contains no name, email address, message text or payment ID. The details go to the operator’s email instead (via Resend, see section 4).
4c. When you visit volttype.com
- Cloudflare Web Analytics counts page views without cookies and without storing your IP address.
- Our own visit counter. The homepage (in every language) and some comparison pages also send a page-view record to our own statistics server (hq.myclienta.com, run by the operator of VoltType). It contains the address of the page you are on (including any campaign tags in it) and the page that sent you there (referrer); when you click a buy button, it also records which plan you chose. As with any request, your network address reaches that server. This counter sets no cookie.
- Download clicks. When you click a download link, our website records the click on that server with the campaign that brought you, your country, your network provider, your browser type and your network address, so we can count downloads, filter out bots and leave out our own test visits.
- Campaign cookie — only if you say yes. If you arrive through a link carrying campaign tags (
utm_ parameters), the website asks whether it may remember which link brought you. Only if you click Yes does it set one first-party cookie, vt_attr, holding only those tags and the page you landed on, for up to 90 days. If you then sign up in the web app, they are saved with your account so we know which campaign brought you. Click No and nothing is stored. The cookie is not shared with anyone, and you can delete it in your browser at any time.
- Settings you choose. The website remembers your language choice and that you closed the privacy notice, in your own browser.
Purpose: understanding which pages and campaigns bring visitors, and keeping the site working. No ad networks, no profiling and no cross-site tracking.
4d. The AI in VoltType
Where the AI runs and what it sees →
VoltType uses AI to turn speech into text, to work out who spoke, and to write summaries, to-do lists and drafts from your own words. In plain terms:
- On your device. With the offline packs, recognition and writing happen on your own phone or PC. Nothing is sent anywhere. You can check this yourself — the app’s Data log lists every request it makes, and during an offline dictation it stays empty.
- In the cloud. Without the packs, audio and the text you ask about go to the sub-processors named in section 4, are processed in memory, and are deleted immediately. They are never stored by us and never used to train any model.
- We do not build models. We use published models as they are. Nothing you say is used to train or fine-tune anything.
- AI gets things wrong. Recognition can mishear a word, and a summary is a draft, not a record. Read it before you rely on it. We never use AI to make a decision about you.
- We do not detect emotion — not now and not later. VoltType does not judge mood, stress, health or character from a voice. This is a permanent design rule, written into our own AI Act assessment.
4e. Voices You Name (Meetings)
If you type a person’s name next to a speaker in a meeting, VoltType can keep a voice fingerprint so your next meeting recognises them.
- A fingerprint is a list of numbers. It contains no audio, and it cannot be turned back into a voice or into words.
- It is stored only on your own device. It is never sent to us. We never see it, hold it, or back it up.
- A voice fingerprint is personal data belonging to the person whose voice it is, and under EU law it is a special category. The app therefore asks you to confirm that the person agreed before it saves anything. Please actually ask them.
- You can delete any saved voice with one tap, at any time, in Meetings.
Recording people. VoltType records only when you press record. Everyone in the room must know and agree. In some countries — Germany and France among them — recording a conversation without everyone’s agreement is a criminal offence. The app reminds you before your first recording; asking the room is the part only you can do.
5. Why We Process Your Data (Legal Basis)
If you are in the EU/EEA or UK, the GDPR requires us to tell you our legal basis for each use of your data:
- To provide the service (account, transcription, word-bank sync when you turn on Remember) — performance of our contract with you (Art. 6(1)(b) GDPR).
- To take payment — performance of our contract with you; keeping payment records — our legal obligation under bookkeeping law (Art. 6(1)(c) GDPR).
- To keep the service secure and prevent abuse (rate limits, quota records, diagnostics) — our legitimate interests (Art. 6(1)(f) GDPR).
- Internal notifications, answering your messages, and website statistics (sections 4b and 4c) — our legitimate interests in answering customers quickly and understanding how people find us (Art. 6(1)(f) GDPR).
- To send you product or feedback emails — your consent, which you can withdraw at any time by replying "unsubscribe".
- Voice fingerprints you choose to save — explicit consent: yours, and that of the person whose voice it is. Stored on your device only; we never receive it.
6. How Long We Keep It
- Audio recordings: not retained. Audio is processed and discarded; we never write it to storage.
- Transcribed text: not retained on our servers. Your history is stored locally on your own device.
- Account details (email, plan): kept for as long as your account exists.
- Usage records and diagnostics (timestamps, seconds and word counts, technical records — not content): kept while your account exists, so we can apply the free plan’s monthly word quota.
- Word bank (only with Remember on): until you delete your account or ask us to remove it.
- Payment and invoice records: kept by Stripe and by us for as long as bookkeeping and tax law require — in Denmark, five years from the end of the financial year.
6a. Deleting Your Account
You can delete your account yourself at any time: in the Android app (your account → Delete account), in the Windows app (Settings → Account → Delete account), or in the web app at app.volttype.com (Settings → Delete my account). It is the same account you use in the Windows and Android apps, so this deletes it for every app. You can also email [email protected] from the address on your account and we will do it for you. More detail is on our account deletion page.
- Deleted immediately and permanently: your sign-in and email address, your plan record, usage records, diagnostics, sign-in record, word bank, and what you told us (survey answers, feedback, promo and gift codes).
- Kept: payment and invoice records, because bookkeeping and tax law require it (see section 6). They record the fact of a payment, not your dictation.
- A paid subscription: cancelled automatically, before anything is deleted, so you are not charged again. If the cancellation fails, nothing is deleted and you are told, so you are never left with a deleted account that is still being charged.
- On your device: notes, meetings, history and saved voices are not on our servers. Delete them in the app, or uninstall it.
7. Data Security
All data transmitted between the app and our servers is encrypted using TLS. API keys and secrets are stored securely and never exposed to client-side code. Sign-in tokens on your device are stored in the operating system's encrypted storage.
8. Your Rights
If you are in the EU/EEA or UK you have the right to access your data, correct it, delete it, receive a copy in a portable format, object to or restrict processing, and withdraw consent at any time.
Download your data yourself: in the web app at app.volttype.com, Settings → Download my data gives you a file (JSON) with your account, plan, usage records, word bank and the feedback you sent us. For anything else we hold — for example diagnostics — email us and we will send it.
To exercise any of your rights, email [email protected]. We will respond within 30 days, and there is no charge.
To delete your account, see section 6a. Data kept on your own device — your notes, meetings and any saved voices — is deleted by deleting it in the app or uninstalling. We cannot delete it for you, because we never have it.
If you believe we have handled your data improperly, you have the right to complain to your national data protection authority.
9. Data Controller
The data controller for VoltType is Djoko Chrchev, contactable at [email protected]. VoltType is operated from Copenhagen, Denmark. See also the Legal Notice (Impressum).
10. Children
VoltType is not directed at children under 16, and we do not knowingly collect their data.
11. Changes
We may update this policy from time to time. We will notify you of significant changes via the app or email.
