Privacy Policy

1. What We Collect
VoltType collects the minimum data necessary to provide the service:
- Account information: Email address when you create an account. If you sign in with Google, Google sends us your email address, name and profile picture so we can create and identify your account; we request nothing else from your Google account and never post or read anything on your behalf.
- Audio data: Your voice recordings are sent to our servers for transcription only. Audio is processed in real-time and never stored on our servers.
- Usage data: We track the number of seconds and words transcribed per day for billing and plan limits, and which app and version made the request. We do not store the content of your transcriptions on our servers.
- Diagnostics: For each cloud transcription we keep a small technical record — how long it took, which speech model ran, which device and app version were used, and an error code if it failed. This is used only to fix problems and improve speed. It never contains audio or text.
2. What We Don't Collect
- We do not store your audio recordings.
- We do not store your transcription text on our servers.
- We do not sell or share your data with third parties.
- We do not use your data for advertising.
3. Local Storage
The desktop app stores the following data locally on your computer:
- Settings and preferences
- Personal vocabulary (learned words and corrections)
- Word Bank rules and templates
- Transcription history
This data stays on your device unless you choose to export it.
4. Third-Party Services (Sub-processors)
VoltType uses the following third-party services to process your data. All are located in, or process data in, the United States.
International transfers. If you are in the EU/EEA or UK, your data is transferred to the United States. These transfers rely on the Standard Contractual Clauses and equivalent safeguards offered by each provider above.
Offline (Pro) mode. When you use offline transcription on VoltType Pro for Windows, your audio is processed entirely on your own machine and is not sent to Groq or to us at all.
5. Why We Process Your Data (Legal Basis)
If you are in the EU/EEA or UK, the GDPR requires us to tell you our legal basis for each use of your data:
- To provide the service (account, transcription, sync) — performance of our contract with you.
- To take payment — performance of our contract with you.
- To keep the service secure and prevent abuse (rate limits, quota records) — our legitimate interests.
- To send you product or feedback emails — your consent, which you can withdraw at any time by replying "unsubscribe".
6. How Long We Keep It
- Audio recordings: not retained. Audio is processed and discarded; we never write it to storage.
- Transcribed text: not retained on our servers. Your history is stored locally on your own device.
- Account details (email, plan): kept for as long as your account exists.
- Usage records (timestamps, seconds and word counts — not content): kept while your account exists, so we can apply the free plan’s monthly word quota.
- Payment records: retained by Stripe for as long as the law requires them to keep financial records.
When you delete your account, your account details and usage records are deleted with it.
7. Data Security
All data transmitted between the app and our servers is encrypted using TLS. API keys and secrets are stored securely and never exposed to client-side code. Sign-in tokens on your device are stored in the operating system's encrypted storage.
8. Your Rights
If you are in the EU/EEA or UK you have the right to access your data, correct it, delete it, receive a copy in a portable format, object to or restrict processing, and withdraw consent at any time.
To exercise any of these, email [email protected]. We will respond within 30 days, and there is no charge. We do not yet offer a self-service export button — ask us and we will send your data to you.
You can delete your account and all associated data at any time by contacting us at [email protected]. Your local data can be deleted by uninstalling the app.
If you believe we have handled your data improperly, you have the right to complain to your national data protection authority.
9. Data Controller
The data controller for VoltType is Djoko Chrchev, contactable at [email protected]. VoltType is operated from Copenhagen, Denmark. See also the Legal Notice (Impressum).
10. Children
VoltType is not directed at children under 16, and we do not knowingly collect their data.
11. Changes
We may update this policy from time to time. We will notify you of significant changes via the app or email.
